Manual reporting, according to Dr. Connor Robertson, is one of the most persistent and expensive time drains in business operations, precisely because it looks small in any single instance. Someone spends an hour every Monday pulling numbers, formatting a spreadsheet, and distributing it. Multiplied across a full year, Robertson notes, that single recurring hour adds up to more than fifty hours spent doing something that, in his view, should require exactly zero minutes of human time.
His proposed fix is a fully automated reporting system, and he lays out a specific sequence for building one. The first step, in his framework, comes before anyone touches a single tool. He recommends defining exactly what the report should contain, in what order, and in what format, with every field tied to a named data source, every calculated metric tied to a defined formula, and every comparison tied to a defined baseline. This design work, he argues, is precisely what most people skip, and skipping it leads to months of corrections after a system has already gone live. Getting the structure right first, in his experience, saves far more time later than it costs upfront.
The second step is connecting the relevant data sources to a central automation hub. Robertson points out that every metric in a typical report comes from a specific source: a CRM for pipeline and close rate, an accounting tool for revenue, a project management platform for delivery metrics, and an NPS tool for client satisfaction. His recommendation is to connect each of these sources using native integrations or direct API connections, and to explicitly map which field in each source corresponds to which metric in the final report, rather than leaving that mapping implicit.
Robertson’s third step is where he believes the real value of automation is unlocked: adding an AI-generated narrative on top of the raw data. In his framing, the difference between a data report and a genuinely useful briefing is interpretation. Raw numbers describe what happened. A generated narrative, produced by feeding the data to an AI tool such as Claude with a prompt asking for a brief executive summary, can highlight the most significant movement, flag anything outside an expected range, and identify the single priority the data most clearly supports.
The fourth step is scheduling, testing, and automating delivery. Robertson recommends setting the report to run automatically at a specific time every Monday morning, before the leadership team’s day begins, and delivering it to the appropriate Slack channel, email list, or both. Before switching over completely, he advises running three full test cycles against real data and verifying that the automated numbers match a manual pull exactly, only shutting down the manual process once that verification is complete.
Even a well-built system, in Robertson’s account, eventually breaks, and he treats planning for that as part of the build itself rather than an afterthought. Automated reporting systems tend to fail when a data source changes its underlying schema, when an API connection expires, or when an AI prompt starts producing inconsistent output after an update somewhere in the chain. His recommendation is to build an error notification directly into the system, one that fires the moment a report fails to generate. A broken automated report that nobody notices until a Monday meeting is already underway, in his view, is worse than never having automated the report at all, because it replaces a known manual process with a false sense of security.
Taken as a whole, Robertson’s approach treats automated reporting less as a single tool to install and more as a small piece of infrastructure that has to be designed, connected, interpreted, and monitored. Done properly, in his framing, it converts a recurring weekly task into something that simply happens on its own, freeing the time that used to go into compiling numbers for the work of actually acting on them.
